Registration Policies 

We’re glad you plan to join us at the TEXAAN 2026 Conference.  Before you submit your registration form please review the information below.  If you have questions and/or concerns about the registration process, please e-mail conference@texaan.org

  • The TEXAAN Conference will be held February 18-20, 2026 at the Hyatt Regency Hill Country Resort & Villas in San Antonio, TX.
  • You must be a current member of TEXAAN at the time of your conference registration to receive the member registration rate.  If you decide to join or renew your TEXAAN membership, it is recommended to purchase it prior to registering for the conference.
  • Registration will close on Wednesday, February 11, 2026 at 11:59pm (CST) so we can prepare for the conference.  After this date, registration will be onsite starting Wednesday, February 18, 2026.
  • Payment must be received by the deadline to receive the registration rate.

Payment Information

  • Payment can be made by credit card (Visa, MasterCard, American Express, or Discover) or check.  Cash is not accepted.
  • If paying by check, make payable to TEXAAN and mail to:

  • Payment must be made prior to receiving conference materials onsite.

NOTE: TEXAAN membership is not included with conference registration. 

Registration Confirmation

Registration confirmations are auto generated and sent to the email address provided in the registration form.  If you do not receive your confirmation, please email conference@texaan.org

Cancellation & Refund Policy

  • To cancel your registration and receive a full refund, you must email: treasurer@texaan.org and conference@texaan.org by Wednesday, February 11, 2026 at 11:59pm (CST).  Refunds will be issued back after the conference.
  • There will be no refunds given for any cancellations received after February 11, 2025.
  • Credit cannot be applied toward future TEXAAN events.
  • Failure to attend the conference does not qualify an individual for a refund.
  • Cancelling your conference registration does not automatically cancel your hotel and travel arrangements.  Attendees are responsible for cancelling their own hotel and travel reservations.  Please contact the hotel if you need to cancel your room reservation.
  • In the event that TEXAAN must cancel the conference in its entirety due to circumstances beyond the control of TEXAAN or venues hosting the event, TEXAAN may refund the appropriate registration fees.

Transfer Policy

Paid registrations may be transferred to another individual at your institution.  You must you must email: treasurer@texaan.org and conference@texaan.org by Wednesday, February 11, 2026 at 11:59pm (CST).

Accessibility

If you have questions or require special accommodations for you to participate in the conference, please notify at least two weeks in advance (by February 4, 2026) by emailing conference@texaan.org outlining your needs and request for accommodation.  We will make every effort to work with you to accommodate your needs. 

Video & Photo Release

By participating in the conference, you voluntarily consent to being recorded and/or photographed by TEXAAN during the event.  These photographs and/or video may be used in TEXAAN publications, including electronic publications, or in audio-visual presentations, promotional literature, advertising, or similar ways. 

Code of Conduct

TEXAAN is committed to providing a professional, friendly, inclusive, and welcoming learning environment for all participants at the conference, regardless of gender, sexual orientation, disability, race, ethnicity, religion, national origin, or other protected classes.  We expect all TEXAAN Conferences participants and speakers (virtual or in person) to help ensure a positive learning experience for everyone. Unacceptable behavior will not be tolerated during any portion of the conference. All conference attendees must abide by the following policy.

Expected behavior:

  • Be considerate of those with whom you may interact.
  • Be collaborative with others.
  • Be respectful of others’ viewpoints that may be different from your own.
  • Be mindful of your words and actions.
  • Adhere to all protocols required by TEXAAN and the venue.

Unacceptable behavior includes, but is not limited to:

  • Offensive or unwanted behavior or language including, but not limited to, discriminatory behavior or language based on race, religion, color, national origin, sexual orientation, gender expression or identity, transgender status, age, disability, veteran or marital status, or any other similar categories.
  • Visual harassment, such as displaying sexual or offensive images OR inappropriate language at the conference, including in presentations, slide decks, as backgrounds, or on clothing visible to attendees.
  • Intimidation or bullying, either online and/or in-person.
  • Photographing or video- or audio-recording of slides, oral, or poster presentations without presenter/author’s permission.
  • Possession of illegal substances.
  • Sharing your event registration with another person(s).
  • Inappropriate disruption of meetings, sessions, or events.
  • Any other illegal activity not already covered above.
  • Intimidating, harassing, abusive, discriminatory, derogatory, or demeaning speech or actions.
  • Real or implied threat of professional or financial damage or harm.

Conference participants violating these rules may be expelled from the conference without a refund at the discretion of the Conference Chair(s).
