Volunteer Information

We are excited to invite you to be a part of the TEXAAN Conference on February 18-20, 2026, in San Antonio, TX! Volunteers play a vital role in making this event a success, and your support is invaluable to ensuring an engaging and smooth experience for all attendees.  Whether you’re passionate about supporting your advising community, looking to connect with fellow professionals, or simply want to lend a helping hand, we would love to have you on board.

Benefits

  • Meet and network with conference attendees.
  • Support and participate with TEXAAN.
  • Be recognized at the Closing Ceremony.
  • Be recognized through an email to your supervisor about your volunteerism. 

Guidelines

  • Must complete and submit the TEXAAN Conference Volunteer Form 
  • Review the volunteer information that will be emailed to you, so you are best prepared for your volunteer role.
  • Attend volunteer training (either the virtual or in-person option).  
  • You must be registered and paid for the 2026 TEXAAN Conference.
  • Inform the Volunteer Chairs if you are no longer available to volunteer. 
  • Check-in with Subcommittee Co-Chairs at the Volunteer Area at least 10 minutes prior to the start of your time shift.
  • Wear your volunteer button so it identifies you as a conference volunteer
Frequently Asked Questions
  • Can I volunteer if I am a first-time attendee?
    Absolutely!  It is a great opportunity for you to network with other conference attendees. 
  • What should I do if I’m no longer available to volunteer?
    Contact the Volunteer Chair as soon as possible.  If it is prior to the conference, email: conf_volunteers@texaan.org.

Volunteer Positions

Below are the volunteer roles available. Please review the descriptions and select the area(s) where you’d like to serve.

Volunteering at the TEXAAN 2026 Conference is not only about supporting the event — it’s also about growing your leadership skills, connecting with colleagues across Texas, and gaining hands-on experience that strengthens your professional toolkit.

Engagement Ambassador

  • Promote a sense of community by encouraging conversations, connection, and participation among attendees
  • Networking Opportunities: High engagement with attendees, presenters, and first-time conference participants
  • Leadership Skills Gained: Community building, interpersonal communication, group facilitation

Floater

  • Provide flexible support wherever needed during the conference.

  • Ideal for volunteers who are open to helping in any area.

  • Networking Opportunities: Exposure to multiple conference functions and networking with a diverse range of participants and leaders.

  • Leadership Skills Gained: Problem-solving, flexibility, and teamwork.

Local Ambassador

  • Provide local recommendations (restaurants, attractions, etc.) and serve as a resource for questions about San Antonio
  • Networking Opportunities: Frequent interaction with attendees seeking guidance and connection
  • Leadership Skills Gained: Cultural awareness, resourcefulness, customer service

Marketing Support

  • Capture conference highlights through photos and videos.

  • Share excitement and engagement with attendees.

  • Support TEXAAN’s marketing and social media presence.

  • Networking Opportunities: Collaborate with TEXAAN leadership and engage with participants across all areas of the conference.

  • Leadership Skills Gained: Creativity, storytelling, and digital engagement.

    Morning Wellness Volunteer

    • Serve as the point of contact for the morning wellness options
    • Networking Opportunities: Connect with attendees in a relaxed, engaging morning setting
    • Leadership Skills Gained: Motivation and wellness facilitation.

    Operations & Logistics Support

    • Assist with set-up and logistical needs throughout the conference.

    • Help ensure that conference spaces are organized and ready for attendees.

    • Networking Opportunities: Work closely with conference staff and other volunteers while supporting event operations.

    • Leadership Skills Gained: Project management, behind-the-scenes coordination, and teamwork.

    Presenter Aide

    • Assist with basic tech setup and provide hospitality to presenters before their session begins
    • Networking Opportunities: Direct interaction with presenters and workshop facilitators
    • Leadership Skills Gained: Technical troubleshooting, event support, professional communication

    Registration & Check-In Support

    • Welcome attendees with a friendly greeting.

    • Check in participants and distribute swag bags and registration materials.

    • Assist with setting up and/or tearing down the registration area (depending on shift time).

    • Networking Opportunities: Meet a wide range of attendees as they arrive and make connections with both first-time and returning TEXAAN participants.

    • Leadership Skills Gained: Communication, customer service, and organizational management

    Session Moderator

      • Introduce presenters and workshop sessions (script provided).

      • Keep track of session time to ensure a smooth flow.

      • Encourage attendees to complete online evaluations.

      • Networking Opportunities: Direct interaction with presenters and session attendees, providing visibility and connection-building opportunities.

      • Leadership Skills Gained: Public speaking, time management, and facilitation
